The School Info dialog, available as a choice on the Tools Menu, allows you to enter, view, and print information about school attendance of children in your church. While the information that you define and view is also duplicated on the Child Registry dialog accessible from the Enter/Modify/Delete Names dialog, the School Info dialog allows you to define school information for a number of students quickly and easily.
There are two pages on the School Info dialog, one to Define and View school information, and a page for Print functions.
Use this page to print reports based on school information. The items available here are not available on the main Print Names dialog.
Selection
Your first task will be to select which children are to be included in your list or report. You may select from these options:
•All Children. Use this option when you wish to print all children in your file, whether they have any school information or not.
•Children Marked for School. This selection will print only those names for which school information has already been saved.
•Children Not Marked for School. This selection will include only those names for which school information has not been saved.
•Elementary Only. Only children marked for school information whose school is elementary level will be printed.
•Elementary Graduates. Since CMD has no method of automatically moving 8 th grade graduates to high school, you’ll need to manually update these names after graduation time each year. Use this option to print a list of elementary graduates so that you’ll have a list to work from to update their school information.
•High School Only. Only students in grades 9-12 will be printed.
•High School Graduates. The option includes only those names who have graduated from high school.
•Specific Grade. When this option is selected, a list will be displayed on the right hand side of the dialog where you may click the grade of your choice. Any names in the selected grade will be included in the report.
If you need to further filter the list, you may select the School and/or Affiliation. Children who match the criteria in the Children To Print selection above will also have to match any School and/or Affiliation choices you make.
There are several options for Output Form:
•Listing By Child Name with Address & Phone. This option prints in landscape orientation on your printer, and includes the child’s name, age, grade, school, along with home address and phone information.
•Listing by Child Name with Phone. This option is similar to the above, except that the home address is not included.
•Listing by Family. This option allows you to print a list of families along with any children they have showing their age, grade, and school. The family’s home address and phone number is also printed. The family name for this report comes directly from the information in the Family Name field.
•Mailing Labels (2-up and 3-up). Select the label type you need. If you wish to print mailing labels to the parents of the children, enter the words "To the Parents of" in the Form Headline field, and those words will appear on the labels ahead of the actual child’s name.
There are several options for Sort Order:
•Alpha Order
•School Order
•School/Grade Order
Note that not all sort options work with all selection options. For example, you cannot select School Order or School/Grade Order if your selection in Children to Print is Children Not Marked for School!
Form Headline may be used to print a headline that appears on each page of the report.
For CMD’s purposes, the graduation date for each year shall be June 1. Use of any other month/day will result in incorrect grades being displayed since CMD calculates the grade based on this date each year. Likely the graduation dates in your area will be a few days before or after June 1, however it will not have any practical impact on your use of the data. Just remember that if you are viewing or printing school info after June 1st but before a child’s actual graduation date, their grade may appear incorrect for this brief period of time. Just remember to always use June 1 for whatever year a child graduates.
