Address E-Mail if Available (Print Names)

 

The Address E-Mail if Available check box on the Print Control dialog of Print Names can provide an important special function if you have selected Labels, Envelopes, or Postcards.

If you have selected one of these output forms and checked the Address E-Mail if Available check box, then CMD will process the names in this manner:

Names with no e-mail addresses will be printed in the normal way on labels, envelopes, or postcards.

The actual e-mail address of names that do have an e-mail address in their E-Mail field will be sent to an Outlook e-mail client window (the basic e-mail dialog) automatically populating Outlook’s "BCC" address field box. The Blind Carbon Copy address field box is used so that recipients of group e-mails will not be able to see the e-mails of the other recipients.

Should you decide that you would like for the recipients of an e-mail to see the names and addresses of others receiving the e-mail, do a standard select, copy, delete, and then paste operation to highlight the list in the BCC box and move it to the "To" box.

Alternatively, if you have selected either of the Windows Clipboard options on the E-Mail Setup dialog, the list will be sent to the Windows clipboard, allowing you to simply paste the addresses in the address field of any e-mail program (use Ctrl-V to paste the list). To access the E-Mail Setup dialog, right-click directly on the Address E-Mail if Available text or check box.

All that will be left is for you to write the e-mail message and send it. You may wish, however, to save the e-mail in the draft folder and deal with the message and mailing it after you’ve left CMD. Try it both ways to see what works best for you with your internet connection setup.

Note that if you use Outlook, you will need to open Outlook and send the e-mail from there. The actual e-mail is prepared by CMD, but it is placed in Outlook's Outbox. So it won't actually be sent until you open Outlook and send it from there.
