Select a name (Contributions)
<< Click to Display Table of Contents >> Navigation: Contributions Management > Enter/Modify/Delete Contributions > Select a name (Contributions) |
The process of selecting a name for whom you wish to enter or modify a contribution is done in the left most column of the Enter/Modify/Delete Contributions dialog. When you first arrive at the Enter/Modify/Delete Contributions dialog, the Name Entry tab in the Name Selection Notebook in the upper left corner of the dialog will be selected. The first name in your list will be highlighted, and the cursor will be placed in the Search edit box just above the list.
The process of selecting a name here is similar to calling up names in other parts of CMD for Windows. Type in the first few letters of the Last Name and you will be taken closer in the list to the name you wish to find. Once you've found the name you need, click on it or use the arrow keys to highlight it with the highlight bar.
Once a name is highlighted, you do one of three things:
•Enter a whole new contribution for this name by clicking the Enter New Contribution button directly below the list. When you do this, space for a new contribution record will be cleared, and the cursor will be moved to the fields in the center column on the dialog. Also, the Names List will be disabled until you are finished entering (or aborting) the new contribution, after which time you may search for another name in your list. For more information on actually entering the contributions data, see entering actual contributions data.
•You can modify or delete a contribution already entered. When you highlight a name, immediately all the contributions given for a name will be displayed in the right most column. For information on modifying or deleting a contribution, see modifying or deleting a contribution.
•You can change any of the Contributions Preferences for the highlighted name.
If you wish to display the address of names as they are highlighted, check the Display Address check box located just to the left of the Enter New Contribution button. This may be useful to help differentiate people in your file as you select them for contributions entry.
If this feature slows up your system as you search for names, uncheck the Display Address check box for general use, and check it only as needed when searching for a specific name.
By default, the Goes By field is used in the Name Search list. However, if you'd rather view First Names, you can toggle back and forth by clicking on the header that contains the words Goes By and the column will then display First Name. To toggle back to Goes By, click the header again.
When you click the Enter New Contribution button, the first column and second column of controls are disabled until you finish the contribution entry by either clicking the Save button or the Abort button. This is true for both the Name Entry and Envelope Entry tab pages.
There might be times when you need to know about a person's position within their family before you assign contributions to them. This might be occasionally necessary because the Name Search tool provided here has only limited space to display a few fields.
However, if you right-click on the name in question as you see him or her in the names list, the Family Info dialog will appear and will show you the other names in the person's family you are viewing.
